POSITIONS
Administrative Assistant
Reports to: Alina Chevalier de Fabrega and Michelle Fabrega
RESPONSABILITIES
Administrative
- Organize and maintain up-to-date client files
- Arrange and confirm client appointments with consultants
- Bill customers and track accounts receivable and payable
- Prepare and organize documents for the accountant and for the messenger
- Make deposits, withdrawals and bank drafts
- Quote products or services needed by the company
- Follow up on housekeeping and maintenance personnel
Customer Service
- Be the contact person with the client to answer frequently asked questions (FAQ) and to send and receive documents
- Follow up with clients and ensure a high quality customer service
- Conduct educational counseling duties such as guidance in the preparation of applications, and of academic and financial documents
- Conduct recruitment efforts such as finding high potential candidates for multinational and national companies
Marketing
- Preparation of marketing materials for events
- Maintenance of the website, newsletter, email marketing, blog and social networks
- Organization and participation in educational and career fairs and other events
- Identify new ways to build awareness of the company (media, events, etc.)
SKILLS
- Fluent in Spanish (native) and English (Advanced)
- Knowledge of Microsoft Office, Facebook, Twitter, LinkedIn and if possible, WordPress and MailChimp
- High capacity for organization and planning, multitasking and attention to detail
- Customer service attitude and excellent interpersonal skills at all levels
- Independent, proactive and hands on
- Ability to research, curiosity
PROFILE
- Age: 22 – 26 years
- Education: University degree in Business Administration, Marketing, Communications, Human Resources, Psychology or any related field
- Years of Experience: 0-3 years, related experience preferred
